Who we are

What we collect
When you use a form on this site we collect what you enter, such as your name, email address, phone number, details about your property or the room you're looking for, and your contact preferences. If you become a landlord client or tenant, we hold the information needed to run the tenancy or management agreement.
Why we use it
- To reply to your enquiry and take the steps you ask for before entering into an agreement
- To perform our agreement with you, and to meet legal duties such as Right to Rent checks, deposit protection and record keeping
- To contact you by email, phone or text about other things only where you've ticked the matching box. You can withdraw that at any time
Who we share it with
Our website provider (Wix), our enquiry and customer records provider (monday.com), referencing and tenancy deposit providers, contractors who need to arrange repairs, and authorities where the law requires. We don't sell your data.
How long we keep it
Enquiries that don't go further are kept only as long as we need them to deal with your enquiry. Tenancy and client records are kept for as long as the law requires.
Your rights
You can ask to see, correct or delete your data, object to or restrict how we use it, and withdraw consent. Email us and we'll respond within one month.
Complaints
If you're unhappy with how we've handled your data, please complain to us first at lettings@olaya.co.uk and we'll respond. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
